The Brief
Most successful events start with weeks, sometimes months, of planning.
This one started with a phone call and just a few hours to make it happen.
Gaurav approached Box Entertainment with an urgent, last-minute event requirement in Dubai. Guests would be arriving within hours, which meant there was no time for lengthy planning meetings, multiple proposals or the usual back-and-forth.
The brief was simple:
Get everything organised, set up and ready before the guests arrive.
Challenge accepted.
The Challenge
The biggest challenge wasn’t necessarily the individual requirements.
It was time.
With only a few hours available, everything that would normally happen across several days needed to happen almost simultaneously.
Suppliers needed to be contacted, availability confirmed, entertainment organised, equipment coordinated, the team briefed and the setup completed.
There was very little room for delays.
And yes, WhatsApp was getting absolutely battered. 😂
Our Approach
As soon as the event was confirmed, the Box Entertainment team moved into action.
Instead of treating each requirement as a separate task, everything was coordinated simultaneously.
Suppliers called.
Team organised.
Entertainment sorted.
Equipment coordinated.
Setup underway.
From arranging corporate entertainment to coordinating technical production and event lighting rental, the priority was getting every element in place before the first guest walked through the door.
When you’re working with such a short turnaround, having trusted suppliers and an experienced event team becomes incredibly important.
There isn’t time to spend hours finding solutions.
You need people who answer the phone, understand what’s required and can make things happen.
The Result
A few hours later, the transformation was complete.
The event was set.
The entertainment was ready.
The team was in position.
And the guests started arriving.
Looking at the finished event, you’d never know how quickly everything had been organised.
For us, that’s probably the biggest compliment.
Guests only see the finished product.
They don’t see the phone calls, WhatsApp messages, supplier coordination, last-minute adjustments or someone confidently saying:
“Yep, leave it with me.”
While simultaneously wondering how they’re going to pull it off. 😂
That’s the job.

This event highlighted something we’ve learned after years of working across events in Dubai and the UAE.
Your supplier network matters just as much as your equipment.
When an event has months of planning time, there are usually multiple options available.
When you have hours, you need trusted relationships.
Having a reliable network of entertainers, technicians, production suppliers and event professionals allowed us to react quickly and bring everything together without compromising the guest experience.

The Takeaway
Last-minute events aren’t something we’d necessarily recommend.
More planning time means more options, more preparation and considerably fewer WhatsApp notifications.
But events don’t always go according to plan.
Requirements change.
Suppliers cancel.
Guest numbers increase.
Someone suddenly realises something important hasn’t been booked.
And sometimes an entire event needs support with only a few hours’ notice.
