booking Agreement and Terms of Service

1. Retainer & Booking Fee

A 50% retainer is required to secure all bookings. This retainer is strictly non-refundable, as it covers time and resources already allocated to the event, including but not limited to consultations, meetings, calls, planning, administration, coordination, and reserving the date, which prevents us from accepting other bookings.

 

In the event of cancellation by the client for any reason, the retainer will be retained by Box Entertainment. However, at our discretion, we may offer the option to transfer the booking value to a future date or provide a credit note for use on another event within a specified period.

2. Force Majeure Clause

Neither party shall be liable for failure or delay in performing their obligations under this agreement where such failure or delay results from events beyond reasonable control, including but not limited to acts of God, war, terrorism, civil unrest, government restrictions, pandemics, natural disasters, strikes, or any other unforeseen circumstances (“Force Majeure Event”).

 

For the avoidance of doubt, a Force Majeure Event shall only apply where the event directly prevents the performance of services and is officially recognised under applicable laws and regulations within the United Arab Emirates. Where events, gatherings, or services are permitted to proceed under UAE law, this clause shall not apply.

 

In the event of a Force Majeure Event affecting the Client, all reasonable efforts will be made to reschedule the services to a mutually agreed alternative date within a 6 to 12 month period, subject to the availability of the Service Provider. Payments made shall be transferred to the new date.

 

If the Client chooses to cancel entirely rather than reschedule, the booking fee or deposit shall remain non-refundable, as it secures the date and covers administrative and opportunity costs.

 

If the Force Majeure Event directly affects the Service Provider, the Service Provider shall make reasonable efforts to provide a suitable replacement of similar standard. If a replacement cannot be arranged, liability shall be limited to a full refund of any payments received.

 

The Service Provider shall not be responsible for any additional costs incurred by the Client as a result of a Force Majeure Event.

3. Credit Note Policy

Any credit issued by Box Entertainment shall be provided in the form of a credit note and:

  • Shall be valid for a period of 6 to 12 months from the date of issue
  • May be applied toward any future event or service, subject to availability
  • Is non-refundable, non-transferable, and cannot be exchanged for cash
  • Must be used in full within the validity period, after which it will expire

4. Cancellation & Rescheduling Policy

A 50% retainer is required to secure the event date and is strictly non-refundable.

 

In the event of cancellation:

  • More than 90 days prior to the event, the retainer remains non-refundable.
  • Between 30–90 days prior to the event, 75% of the total booking value shall be payable.
  • Within 30 days of the event, 100% of the total booking value shall be payable.

At the sole discretion of Box Entertainment, the booking may be rescheduled once, subject to availability. The retainer may be transferred to the new date. No refunds shall be issued for cancelled rescheduled bookings.
